A Corporate Event Planner in San Diego That Costs You Nothing

Corporate event planning in San Diego usually lands on someone who already has a full-time job: an executive assistant, an HR lead, a marketing manager. You need a venue that fits the headcount, a menu that works for every guest and a plan leadership will sign off on. Usually by Friday.

That is the work we take off your desk. We source the room from 100+ San Diego venues, negotiate the rates, build the timeline and budget, and coordinate the event on the day. Groups run from 10 to 500+, and most proposals come back within 24 hours.

Here is the part people ask about twice: there is no planning fee. The venues pay us, not you. Your company pays only for the event itself, and every cost is quoted in your proposal before you commit to anything. After 500+ events and more than ten years in this city, we know which rooms deliver and what a fair price looks like.

How Our Corporate Event Planning Works

1. Send us the brief

Share your date, headcount, budget and the purpose of the event. A short form or a 30 to 60 minute consultation is enough to start.

2. Get a proposal in 24 hours

You receive real venue options with real pricing, menus and a draft timeline, usually within a day, so you can compare side by side.

3. Approve and we lock it in

We negotiate rates, review vendor contracts, collect dietary needs and confirm any venue deposit and deadline in writing before anything is committed.

4. We run the day

Your dedicated contact coordinates the venue and vendors on event day, then follows up afterward so the next event starts faster.

Corporate Events We Plan Across San Diego

Most corporate events come down to the right room, the right menu and a timeline that holds. We plan the full range:

For the room itself, choose between private dining rooms and full restaurant buyouts, including our own Gaslamp venues, Greystone and Kaluu, which are bookable only through us.

The No-Fee Model, Explained

We are paid by the venues and restaurants we book. That is how we are funded, so sourcing, negotiation and coordination carry no planning fee, no retainer and no deposit for our service.

What your company pays for is the event: food and beverage, venue minimums, rentals, entertainment and any specialty vendors. Those are quoted line by line in your proposal. Where a venue needs its own deposit to hold a date, we tell you the amount and the deadline in writing before anything is signed. We can work with your accounts payable process.

Because we book across 100+ venues, we know what a fair minimum looks like and where there is room to move. Groups often land better pricing than they would booking direct. For the full breakdown, read our guide to corporate event planning costs in San Diego.

Every event includes consultation, venue and vendor sourcing, rate negotiation, a timeline and budget, vendor contract review, ongoing communication, event-day coordination and post-event follow-up.

Traditional Planner, Booking Direct, or Us

There are three ways to get a corporate event done in San Diego, and each has a trade-off.

Booking direct with a venue adds no fee, but you see one room at a time. You compare options yourself, negotiate alone and manage every vendor. If the space falls through, you start over.

Hiring a traditional planner or agency gets you an expert, usually for a planning fee or retainer on top of your event costs, and proposals can take weeks to arrive.

Working with us gives you a planner's sourcing, negotiation and day-of coordination at the same cost as booking direct. You see several priced venues side by side in about 24 hours, with one point of contact from first call to follow-up.

Where We Handle Corporate Event Planning in San Diego

For groups staying downtown or attending the convention center, Downtown and the Gaslamp and Little Italy keep everyone close to the hotel. For a coastal client dinner, we look to La Jolla and Del Mar. North County offsites often fit Carlsbad. We cover the whole county.

The neighborhood shapes the evening. Little Italy suits dining-focused events with European character; the Gaslamp has the most venue choice and stays lively after dinner; La Jolla trades walkability for ocean views and quieter rooms. We weigh where guests are staying, transport and how late the group will run before we recommend an area.

We plan regularly for biotech and pharma teams, associations and conference groups, and financial and professional services firms. Recurring programs, such as an annual dinner or quarterly client event, get easier every round because we already know your standards, your budget and your guest list.

Recent Corporate Events We've Planned

The California Cattlemen's Association needed a VIP dinner for 245 guests near the Gaslamp during their convention: a steak-focused menu, custom table layouts, logo menus and a cocktail hour. For Marsh, we planned a cocktail reception and a group dinner on separate days at the same restaurant, with signature cocktails and AV for slideshows. And one recurring client books a full-space buyout every October, approves our proposal and leaves the rest to us.

"They found us a Gaslamp venue in two days when our original space fell through. The whole thing was free. I kept waiting for the catch." Executive Assistant, Fortune 500 tech company, corporate dinner for 120 guests.

Corporate Event Planning FAQs

How much does corporate event planning cost in San Diego?

Our planning service costs you nothing. The venues pay us, so there is no planning fee and no retainer. You pay only the event costs, such as food and beverage, venue minimums, rentals and entertainment, all quoted in your proposal. Because we negotiate the rates, groups often pay less than they would booking the same venue direct.

How far in advance should we book?

For corporate dinners and group events, four to eight weeks ahead is ideal. Holiday parties in November and December should start earlier because the best rooms fill first. Short lead time? Reach out anyway. We have found a replacement Gaslamp venue in two days, and we will tell you honestly what is possible.

What group sizes do you plan for?

We plan for groups from 10 to 500+. That covers an intimate executive dinner in a private room, a 250-guest convention dinner, a multi-restaurant dine-around and a Gaslamp block party for 150 to 600+ guests. The proposal is built around the experience you want, not just the seat count.

Do you require a deposit?

There is no deposit for our service. Venues and vendors may require their own deposit to hold a date or secure a minimum. When they do, we tell you the amount and the deadline up front, in writing, before anything is committed, and we can work with your accounts payable process.

Can you handle dietary restrictions?

Yes. We collect dietary requirements from your guest list before the event and build them into the catering brief, whether that is gluten-free, vegan, kosher, halal, nut-free or something else. Guests with restrictions should get the same quality of meal as everyone else, and we make sure the kitchen knows it.

Are you insured, and who is our point of contact?

Yes, we carry business liability coverage and provide documentation to venues and clients on request. Every event gets one dedicated contact who handles your planning from first call through event day and post-event follow-up, so you never have to repeat yourself to a new person.
